Anti-Spam Policy

Effective date: August 25, 2026

Simbian, Inc. (“Simbian,” “we,” “us,” or “our”) is committed to responsible, permission-based email communication. This policy describes our practices for sending email and applies to all email sent by or on behalf of Simbian, including by our employees, contractors, and third-party service providers.

We comply with applicable anti-spam and email-marketing laws, including the U.S. CAN-SPAM Act, Canada’s Anti-Spam Legislation (CASL), and the EU/UK GDPR and PECR where applicable.

1. Our Commitments

  • We do not send unsolicited bulk email (“spam”).
  • We send email only to individuals who have (a) an existing business relationship with Simbian, (b) opted in to receive communications from us, or (c) a reasonable, documented basis for contact founded on publicly available professional information used for legitimate business outreach.
  • Every marketing or outreach email we send includes:
    • Accurate, non-deceptive sender information in the “From” and “Reply-To” fields.
    • A clear and truthful subject line.
    • Our valid physical business address (see Section 6).
    • A functional, one-click unsubscribe / opt-out mechanism.
  • We honor unsubscribe and opt-out requests within 10 business days, typically much sooner.
  • We do not sell, rent, or share recipient contact information with third parties for their own independent marketing purposes.
  • We do not use false or misleading header information, deceptive subject lines, or email lists that were harvested or purchased without consent.

2. Transactional and Product Email

Email required to operate the Simbian product — including account, security, and billing notifications — is sent only to users of our product in connection with their use of the service. Such email is necessary to the service and is not subject to opt-out under applicable law, though recipients may manage notification preferences from within their account settings where available.

3. Third-Party Sending Tools

Simbian may use reputable third-party platforms and infrastructure — including email delivery services and sales-engagement tools — to send outreach and product email on our behalf. Any such tool or provider is required to comply with this policy and with applicable law.

4. Reporting Abuse

If you receive an email from Simbian that you believe violates this policy, or you wish to report suspected abuse, spoofing, or phishing using our domain, please contact: abuse@simbian.ai.

We investigate all reports and take appropriate action, which may include suspending sending access for any internal team, tool, or integration found to be in violation of this policy.

5. Enforcement

Any Simbian employee, contractor, or partner found to be in violation of this policy will have their email-sending privileges suspended pending review. Repeated or willful violations may result in permanent loss of access to Simbian’s email-sending systems.
